Project owners who want to collaborate with more organisations can now copy a share link to share their organisation’s capital works with their contacts. No more emailed spreadsheets or PDFs. Guests can register to view works via the platform, and those with a paid subscription can even upload data and receive collaboration opportunities.

Roles: Organisation administrators, publishers and project owners will have access to the share data feature.

How does it work?

The feature can be accessed by navigating to the “Share” menu item. The user will see a dialog explaining the share data feature.


Share data
  1. Enable sharing by setting the toggle to ON
  2. A link access URL is generated and ready to be copied – note this link is unique to the user who is doing the sharing.
  3. Share the link access URL
    • Paste it into your email or preferred message format, or
    • Enter email addresses (comma separated) and click ‘Send’ to have SmarterWX Collaborate email your contacts.

Share your data

Note that all projects and exclusion zones for your organisation will be shared each time you share a link access URL.

Tracking who has accessed shared data

You can easily keep tabs on which registered users are accessing your shared data. Their registered email addresses appear in the Share data interface under “These registered users have accessed your data”.

Revoking access to shared data

If for any reason you would like to revoke access to your organisation’s shared data, you can do so by one of the following methods.

  1. Choose “Regenerate URL” – this acts like changing the locks on your door, invalidating the previous link access URL and generating a new one, which can be shared with contacts if desired.
  2. Disable sharing by setting the toggle to OFF.
